Executive Assistant to the Chief Operating Officer

Bond, Schoeneck & King, PLLC, a law firm of 300 attorneys in over 30 practice groups, is accepting applications for an Executive Assistant to the Chief Operating Officer in our Syracuse, New York office. This position will provide work product to the Chief Operating Officer, Chairs of the Management, Compensation, and Political Contributions Committees, General Counsel and Members of our firm with the utmost confidentiality.
Position Responsibilities
- Creates and revises a large volume of work while adhering to the Firm’s procedures
- Assists the Chairs of the Management, Compensation and Political Contributions Committees, General Counsel and any Member with confidential projects
- Manage the Firm’s Renewal of insurance policies
- Work with the General Counsel to revise and update firm policies, process the Professional Liability Insurance renewals and ethical wall reporting of lateral attorney hiring
- Manages the Firm’s Political Contributions’ Database and Submits Electronic Filings with the New York State Board of Elections
- Interface with all attorneys and staff regarding firm’s policies and procedures
- Work with the C-Suite, directors and various department personnel for the benefit of the firm
- Work closely with the Human Resources Department
- Provides various administrative assistant functions including, but not limited to, faxing, interoffice deliveries, overnight deliveries, and telephones
- Performs other duties as assigned.
Job Requirements
- Minimum of 5 years’ experience in an administrative position
- Prior law firm experience required
- Must be an independent, proactive, organized and diligent worker
- Must be able to work under deadlines and make sure they are met
- Must be able to multi-task, be detailed oriented and be able to prioritize daily tasks and responsibilities
- Must be able to respond quickly to shifting demands and opportunities
- Must be able to create positive working relationships and effectively communicate with all parties in the transaction
- Must demonstrate strong analytical and problem-solving skills
- Must possess excellent writing and verbal skills
- Intermediate skills with Microsoft Office Products, Adobe and Kofax Power PDF is necessary, proficient skills are preferred
- Intermediate skills with Aderant, Intapp and Data Fusion is preferred.

This position's salary range is between $75,000 to $90,000, negotiable based on years’ experience.
